HealthCare Alliance Group LLC, an innovative, full-service medical communications company, is adding an Administrative Assistant to the team on a 30 hour a week temporary basis. The role has the potential to go permanent after 3 months.  The role will support the company to ensure all critical processes and deliverables as it relates to our internal and external business process are being met. 


  • Organize and schedule appointments   

  • Plan meetings and take detailed minutes  

  • Assist in the development and preparation of regularly scheduled reports  

  • Book or support senior staff travel as needed  

  • Expense reports and reconciliations  

  • Ordering office supplies  

  • Writing emails or memos  

  • Maintain contact lists  

  • Track and communicate all Statements of Work (SOWs) to all appropriate parties.  

  • Assist in managing and ensuring all purchase orders for each approved project      

  • Monitor and drive consistency across the project teams with respects to process adherence and correctness  

  • Work with other administrative staff to support company initiatives and organize company events as needed  

  • Provide general support to all visitors  

  • Maintain professional and technical knowledge by attending offered seminars to improve skill sets or help support company needs  

  • Handle sensitive information in a confidential manner  

  • Maintain polite and professional communications via phone, email, and mail  

  • Anticipate the needs of others in order to ensure their seamless and positive experience with our organization 


  • Associates or bachelor's degree and/or 2-5 years of related administrative assistant/ office assistant experience 

  • Proficient in Microsoft Office, including Word, Excel, and Power Point  

  • Must be a demonstrated self-starter, strategic-thinker, problem-solver, and enjoy working in a fast-paced, yet rewarding team environment 

  • Superior organizational and time-management skills are necessary 

  • Attention to detail, excellent verbal and written communications skills
